The organizers would like to express their gratitude to the
chairpersons for guidance through the technical sessions. We appreciate
your acceptation of the following guidelines:
-
Please familiarise yourself with the venue
prior to your particular session.
-
All chairpersons and authors are requested to attend the meeting
with authors 15 minutes before start of the session block in the
respective lecture hall. The times and venues are itemized in the
Program Handbook and on the congress website. Make every effort to
meet your speakers before the session begins to check they are
present, to verify pronunciation of names and to settle any queries
regarding their affiliations/biographies.
-
If a speaker listed in the program is not present, decide how
you will utilize the time (an ad hoc discussion
with a panel of other session speakers is usually a good
idea). Please do not move up papers within a session, as delegates
from other sessions may be planning on “session hopping” and may
miss a presentation of their choice if the program is altered.
-
Inform yourself about the speakers so that
you may introduce them
before their presentation. Please keep the introduction of speakers
brief.
-
Please start your session on time, even if people are still
arriving, by introducing yourself and then the first speaker.
Our
Conference has up to four parallel sessions; it is therefore
important to ensure that each speaker stops talking on time and that
each new speaker starts exactly at the allotted time (and that you
do not start your session early or late). This is particularly
important in parallel sessions where delegates may wish to move
between sessions.
-
If there is a particularly interesting discussion in progress
at the time of the next speaker starting,
we suggest that it is continued in the
next tea/lunch break between the
involved people and not in the session itself.
-
Please prepare a question in advance to
ask at each speaker’s
question time if necessary. Delegates posing questions from the
audience should be asked to state their name and organization before
asking their questions.
-
Timing: 15 minutes presentation + 5 minutes questions/discussion
= 20 minutes. We will provide you a yellow and a red card to inform
the speaker about the time left (yellow: 3 minutes, red: 30
seconds). You are advised to strictly follow the schedule and
interrupt if necessary.
-
Please make any formal announcements as
requested by the organizers.
-
Please thank all speakers at the end of the session
on behalf of the conference and Association.
